This Privacy Policy explains what information Rare Breed Plumbing, Heating, and Air collects through callrarebreed.com, why we collect it, who we share it with, and how you can see it or have it deleted. We wrote it in plain language on purpose. If anything here is unclear, call us at (385) 449-0144 or email office@callrarebreed.com and a person will answer.
Who we are
Rare Breed Plumbing, Heating, and Air is a plumbing, heating, and air company operating out of three shops in Utah:

What we collect
Information you give us
When you fill out a form on this site, we collect what you type into it: your name, phone number, email address, the service you need, and anything you write in the message field. Our forms are built on Fluent Forms and the submission is stored on this website and emailed to our office. When you call, text, or email us, we keep a record of that conversation so the technician who shows up already knows the history.
Call tracking
We use ServiceTitan Dynamic Number Insertion. On some visits the phone number displayed on the page is swapped for a tracking number so we can tell which marketing source produced the call. If you dial that number it rings our office the same as any other. ServiceTitan records the calling number, the time and length of the call, and the marketing source it came from, and calls may be recorded for training and quality. If you do not want a call recorded, tell us at the start and we will turn it off.
Website analytics and advertising
We load Google Analytics and Google Ads tags through Google Tag Manager. These use cookies and similar identifiers to record which pages you viewed, how you arrived, roughly where you are (city level, from your IP address), and what device and browser you used. We use this to see which pages actually help people and which ads are worth paying for. We do not use it to identify you by name.
Booking and scheduling
If you book online, the scheduling widget is provided by ServiceTitan. The appointment details you enter go to ServiceTitan, which is the software our office and our technicians run on.
Service records
Once you become a customer we keep the ordinary records a contractor keeps: your service address, the work performed, the equipment installed, photos of the job, estimates, invoices, and warranty information. We keep these because you and we may both need them years later.
Technical information
Our host records standard server logs, including IP address, browser type, and the pages requested. This is used for security and to keep the site running.
What we do not collect
We want to be specific, because generic privacy policies tend to claim everything. Through this website we do not collect biometric information, fingerprints, voiceprints, education records, or genetic data. We do not run prize draws or sweepstakes. This website has no store and no checkout, so we do not take card numbers on it. If you apply for financing, that application happens on Synchrony Bank’s own website under Synchrony’s privacy policy, and Rare Breed does not receive or store your Social Security number or your full application.
How we use your information
- To answer your question, quote the work, and schedule the visit
- To dispatch a technician and give that technician the context to do the job right
- To send appointment confirmations, arrival notifications, invoices, and follow ups
- To honor warranties and look up what we did on a previous visit
- To ask for a review after the work is done
- To measure which marketing actually works so we do not waste money on the parts that do not
- To keep the site secure and to prevent spam and fraud
- To meet legal, licensing, tax, and insurance obligations
Text messages
If you give us your mobile number we may text you about your appointment, arrival window, estimate, or invoice, and occasionally about a promotion. Reply STOP to any message to opt out and HELP for help. Message and data rates may apply. The full terms are on our Terms and Conditions page.
Who we share it with
We do not sell your personal information for money. We share it only with the vendors that make the business run, and only so they can do their job:
- ServiceTitan: our field service software. Customer records, appointments, estimates, invoices, call tracking, and call recordings live here.
- Google: Analytics, Ads, and Tag Manager, for website measurement and advertising.
- Automattic and WordPress.com: hosting for this website, including server logs.
- Fluent Forms and Akismet: form delivery and spam filtering on form submissions.
- Our payment processor: card payments taken in the field or by the office are processed by a payment provider, not stored by us.
- Synchrony Bank: only if you choose to apply for financing, and only on Synchrony’s own site.
- Law enforcement or a court: if we are legally required to, or to protect someone’s safety.
If Rare Breed is ever sold or merged, customer records would transfer with the business. We would say so here before that happened.
Cookies and your tracking choices
This site uses cookies that are necessary to make pages work, plus analytics and advertising cookies from Google as described above. Some state privacy laws treat advertising cookies as “sharing” personal information for targeted advertising even when no money changes hands, so we want to be straight about it rather than claim we share nothing.
You can control this in three ways: block or delete cookies in your browser settings; install the Google Analytics opt out browser add on; or turn on Global Privacy Control in a browser that supports it, which we treat as an opt out request. You can also email us and ask us to opt you out.
How long we keep it
Form submissions and leads that never became jobs are kept for about two years. Customer service records, invoices, and job photos are kept for at least seven years, because warranty claims, insurance questions, and tax rules all reach back that far, and because a plumber who can see what was installed in 2021 does a better job in 2028. Call recordings are kept per ServiceTitan’s retention settings, generally under two years. Analytics data is kept on Google’s standard retention schedule. Nothing is kept “forever.”
Your rights and how to request deletion
If you live in Utah, California, Colorado, Virginia, Connecticut, or another state with a consumer privacy law, you have the right to ask us what personal information we hold about you, to get a copy of it, to correct it, to have it deleted, and to opt out of targeted advertising. We extend these rights to everyone who asks, regardless of where you live.
To make a request, email office@callrarebreed.com with the subject line “Privacy Request,” or call (385) 449-0144. Tell us what you want us to do and include the name, phone number, email address, or service address you used with us so we can find your records. We will confirm we received it and respond within 45 days. If we need more time we will tell you why.
One limit worth naming up front: if you were a customer, we may have to keep the invoice, permit, and warranty record for the work we performed even after deleting the rest, because licensing, tax, and building code rules require it. We will tell you exactly what we kept and why.
If we deny your request, you can appeal by replying to our response and writing “Appeal.” We will review it and answer in writing. If your appeal is denied, you may contact the Utah Attorney General’s office or the attorney general of your own state.
Children
This site is for homeowners and property managers. We do not knowingly collect information from anyone under 13. If you believe a child gave us information, email office@callrarebreed.com and we will delete it.
Security
We use encrypted connections on this website, restrict access to customer records to the people who need them, and rely on vendors who maintain their own security programs. No system is perfect, and we will not tell you that ours is. If we ever learn of a breach affecting your information we will notify you as required by law.
Changes to this policy
If we change this policy we will change the date at the top. If the change is significant we will say what changed rather than making you diff it yourself.
